This Privacy Policy explains how IncaPost (“we”, “our”, “us”) collects, uses, and discloses personal information when you use our website, booking tools, and courier services. We are based in New South Wales, Australia, and handle personal information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

2. What we collect
Depending on how you interact with us, we may collect:
- Identity and contact details — name, email address, phone number, and business name.
- Delivery details — pickup and delivery addresses, access instructions, parcel descriptions, and proof of delivery (including photos or signatures).
- Booking and payment details — service selections, weights/sizes, quotes, invoices, and payment status. Card payments are processed by Stripe; we do not store full card numbers on our servers.
- Account and integration details — information needed for Shopify, Starshipit, Spoke, or similar tools you connect with us.
- Communications — emails, SMS, WhatsApp, phone call notes, and support messages.
- Website and device data — IP address, browser type, pages viewed, and approximate location derived from IP, collected via cookies or similar technologies (including analytics such as Google Analytics) where enabled.
3. How we collect it
We collect personal information when you:
- book a delivery or request a quote on our website;
- email, call, text, or message us;
- create or use a business account or integration;
- leave a review or otherwise contact us; or
- browse our website (through cookies and analytics, where used).
We may also receive information from your customers or partners when they book a delivery that involves you as sender or recipient, and from service providers that help us operate (payment, mapping, routing, and communications tools).
4. Why we collect it
We use personal information to:
- provide, quote, schedule, track, and complete deliveries;
- communicate with senders and recipients (including SMS/email updates);
- process payments and manage invoices;
- improve our website, routes, and customer experience;
- meet legal, insurance, and safety obligations; and
- respond to enquiries and complaints.
We do not sell personal information.
5. Who we share it with
We may share personal information with:
- Drivers and operations staff who need it to complete a job;
- Spoke, our logistics and routing platform (Spoke Privacy Policy), which processes delivery, customer, and driver details so we can plan routes and complete jobs;
- Stripe, for payment processing (Stripe Privacy Policy);
- Other technology providers that host our systems or support bookings, maps, analytics, messaging, or store integrations (for example Shopify or Starshipit);
- Your nominated contacts (for example a recipient) as needed to complete delivery; and
- Regulators, insurers, or advisers where required or appropriate by law.
Where we use overseas providers (for example Spoke, Stripe, or cloud platforms), personal information may be processed outside Australia. We take reasonable steps to ensure those providers handle information consistently with the APPs.
6. Storage and security
We store information in electronic systems protected with access controls and other reasonable security measures. No method of transmission or storage is completely secure; please contact us promptly if you believe there has been unauthorised access to your information.
We keep information only as long as needed for the purposes above, or as required by law (for example tax and insurance records), then delete or de-identify it where practicable.
7. Cookies and analytics
Our website may use cookies and similar technologies for essential site functions and, where enabled, analytics. You can control cookies through your browser settings. Disabling some cookies may limit site features (for example address autocomplete).
8. Your rights
Under the APPs, you may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, or incomplete. In some cases we may refuse a request where the APPs allow; if so, we will explain why.
